The Role

 

This is a broad, hands-on role for someone who enjoys variety, takes ownership, and is comfortable handling different types of responsibilities during the day.

The role combines office administration, CEO support, logistics, HR support, coordination, and general operational assistance. Some tasks will be planned and recurring, while others will come up ad hoc and require quick thinking, flexibility, and a practical attitude.

We are looking for someone who is dependable, resourceful, discreet, and willing to help wherever needed

Key Responsibilities

 

Office Operations

 

You will help ensure that the office runs smoothly on a day-to-day basis. This includes:

 

* Managing office supplies, equipment, groceries, and basic inventory

* Coordinating with cleaning services, maintenance providers, delivery companies, and other vendors

* Handling office-related errands and practical tasks

* Supporting the organization of the office space, meeting rooms, and common areas

* Helping with internal office events, team lunches, celebrations, and similar activities

* Making sure the office is well-organized, presentable, and functional

 

CEO Support

 

You will provide direct support to the CEO with a range of organizational and administrative tasks, such as:

 

* Preparing simple documents, summaries, checklists, and follow-ups

* Helping organize travel, accommodation, restaurants, events, and logistics

* Tracking small tasks, reminders, and operational follow-ups

* Handling ad hoc requests and personal/business errands where appropriate

* Supporting communication with internal team members and external partners when needed

 

HR and Team Support

 

You will support basic HR and people operations activities, including:

 

* Helping with onboarding logistics for new team members

* Preparing equipment, workspace, welcome materials, and access checklists

* Supporting internal communication around team activities

* Helping organize interviews, meetings, and candidate logistics

* Assisting with vacation tracking, documentation, and HR administration

* Supporting the team with general administrative needs

 

Administrative and Operational Support

 

You may also assist with:

 

* Invoice collection and document organization

* Scanning, printing, archiving, and basic paperwork

* Coordinating signatures and internal approvals

* Communicating with accountants, suppliers, banks, public institutions, or service providers when needed

* Keeping simple internal records and spreadsheets updated

* Supporting various company projects with practical coordination

* Comfortable using basic tools such as Google Workspace, email, calendars, spreadsheets, and messaging apps

 

Requirements

 

* Strong Croatian and good English communication skills

* Good organizational and multitasking skills

* Basic computer literacy

* Ability to work from the office in Zagreb

* Driver’s license is a plus, but not mandatory

Ključne odgovornosti

Uredsko poslovanje

Pomagat ćete u osiguravanju svakodnevnog nesmetanog funkcioniranja ureda. To uključuje:

* Upravljanje uredskim potrepštinama, opremom, namirnicama i osnovnim zalihama

* Koordinaciju sa servisima za čišćenje, pružateljima usluga održavanja, dostavnim službama i drugim dobavljačima

* Obavljanje uredskih obaveza, odlazaka i praktičnih zadataka

* Podršku u organizaciji uredskog prostora, soba za sastanke i zajedničkih prostora

* Pomoć u organizaciji internih uredskih događanja, timskih ručkova, proslava i sličnih aktivnosti

* Brigu o tome da ured bude dobro organiziran, uredan, reprezentativan i funkcionalan

 

Podrška CEO-u

Pružat ćete izravnu podršku CEO-u kroz različite organizacijske i administrativne zadatke, kao što su:

 

* Priprema jednostavnih dokumenata, sažetaka, checklisti i follow-upova

* Pomoć u organizaciji putovanja, smještaja, restorana, događanja i logistike

* Praćenje manjih zadataka, podsjetnika i operativnih follow-upova

* Rješavanje ad hoc zahtjeva te poslovnih i, gdje je primjereno, osobnih obaveza

* Podrška u komunikaciji s internim članovima tima i vanjskim partnerima kada je potrebno

 

HR i podrška timu

* Pomoć s onboarding logistikom za nove članove tima

* Pripremu opreme, radnog mjesta, welcome materijala i pristupnih checklisti

* Podršku internoj komunikaciji vezanoj uz timske aktivnosti

* Pomoć u organizaciji intervjua, sastanaka i logistike s kandidatima

* Pomoć u praćenju godišnjih odmora, dokumentaciji i HR administraciji

* Podršku timu u općim administrativnim potrebama

 

Administrativna i operativna podrška

* Prikupljanje računa i organizacija dokumentacije

* Skeniranje, printanje, arhiviranje i osnovna papirologija

* Koordinacija potpisa i internih odobrenja

* Komunikacija s računovodstvom, dobavljačima, bankama, javnim institucijama ili pružateljima usluga kada je potrebno

* Ažuriranje jednostavnih internih evidencija i tablica

* Podrška različitim internim projektima kroz praktičnu koordinaciju
